Wholesale Assistant

Overall Summary

This role is a sales support role within the Wholesale team at Garrard to ensure an effective and efficient administrative service to the team. The role will be a pivotal function in the smooth running of the department, and covers sales administration and sales support.

Key Responsibilities

Sales Support

  • To keep customer folders up-to-date with relevant setup data and ongoing information changes, chasing when required
  • To update and ensure accuracy of SAP systems
  • To prepare and liaise with Marketing to produce visual presentations, maintain Wholesale team support documentation and collate Sales data into spreadsheets.
  • To use appropriate software/equipment to create customer friendly presentations
  • To work with the Logistics, Wholesale team and Marketing to ensure that clients are equipped with all the necessary products, point of sale, visuals, company literature etc.: to ensure the wholesale VM and supporting materials are appropriately distributed and maintained.
  • To support the Wholesale team with tasks such as: stock selection, logistical organisations and price-book production, in order to prepare for trade shows, trunk shows and client visits and events. 
  • To support the Wholesale team’s travel arrangements – booking flights, hotels etc.
  • To support the Wholesale team in preparation of clear and well-supported expense forms, ensuring expenses are completed in a timely manner and within company guidelines.
  • To assist with the production of statistical reports and analysis to identify sell to and sell through sales trends

Corporate Sales

  • Support the Account Managers with the Silver and Bespoke operation for Garrard to identify new opportunities within specified regions
  • To ensure invoices are raised and processed,
  • To manage delivery schedules and client expectations
  • Liaise with other internal departments to ensure all related production and logistical processes are adhered to.
  • Liaise with various corporate clients to support the activity on the account
  • Gain a full understanding of the markets the business is currently in and to identify other areas of corporate sales which Garrard can explore and grow in.


This role is working within a growing luxury jewellery business, which will require this job holder to take on various additional responsibilities and projects as and when necessary
The role may require national and international travel on behalf of the business
Any other ad-hoc projects as and when required.


  • Sales administrator experience required
  • Excellent knowledge of  Word/Excel/Power point
  • Experience of SAP system desirable
  • High degree of attention to detail and accuracy
  • Flexible, customer service orientated and willing to help attitude
  • Strong team player across all areas of the business
  • Excellent communication skills
  • Pro-active in work attitude
  • A keen understanding for the production and organisation of statistical data
